OUR STANDARD
Protecting our customers' privacy is one of our most important responsibilities.
We place the protection of personal information at the center of our business activities and are committed to the following practices.
We will not handle information beyond the scope necessary for our business operations.
We will implement appropriate management measures to prevent the leakage, loss, or unauthorized access of personal information.
We will comply with relevant laws and regulations as well as internal policies, and always act with the highest ethical standards.
To live up to our customers’ trust, we will ensure transparent information management.
We deeply recognize the value of the information entrusted to us by our customers and will continue to provide an environment where they can use our services with peace of mind.
Code of Conduct
VE-TRI Co., Ltd. (hereinafter referred to as “the Company”) recognizes the protection of personal information in today’s information society as a critical responsibility. Accordingly, we have established the following Privacy Policy, which all officers and employees are required to comply with, and we are committed to the appropriate handling and management of personal information.
1. Purpose
This Code of Conduct establishes the basic standards of conduct that all employees must adhere to in order for Ve-Tri to maintain a healthy and safe work environment and remain a company trusted by our customers, partner companies, and society.
2. Core Values
Ve-Tri values the following:
Integrity: Act with honesty and adhere to the rules
Respect: Respect others’ perspectives and interact with courtesy
Accountability: Take responsibility for one’s work and strive for improvement
Customer Focus: Deliver quality and value to build trust
3. Basic Conduct in the Workplace
Please keep the following in mind at all times.
・Be polite and professional in your words and actions
・Properly carry out reporting, communication, and consultation
・Honor deadlines, schedules, and commitments
・Value teamwork and engage in constructive communication
4. Prevention of Harassment and Prohibition of Discrimination
Ve-Tri does not tolerate harassment or discrimination in any form(Zero Tolerance).
Examples (not limited to these):
・Verbal abuse, intimidation, insults, and personal attacks
・Inappropriate comments, jokes, and harassment on social media or chat platforms
・Sexual harassment (including physical, verbal, and visual)
・Discrimination based on race, nationality, gender, age, disability, etc.
・Retaliation against those who report or seek advice
5. Continuous Improvement of the Privacy Management System
The following actions are prohibited:
・Violence, threats, or statements or actions intended to cause harm
・Actions that endanger the work environment
・Actions that significantly disrupt workplace order
7. Protection of Confidential Information (Confidentiality Obligation)
Please handle confidential information belonging to Ve-Tri, our customers, and our partners with the utmost care.
Examples:
・Customer information, contract details, pricing information
・Proposal materials, design documents, source code
・Internal documents, business processes, know-how
Rules:
・Share only with necessary individuals and only to the extent necessary
・Do not forward to personal email or personal cloud storage
・Comply with NDAs (Non-Disclosure Agreements)
・Report immediately if there is any suspicion of loss or leakage
8. Rules for the Use of Company Assets and IT
Please use company-issued PCs, accounts, networks, and tools appropriately.
Examples of Prohibited Activities:
Illegal activities or access to inappropriate websites
Excessive personal use that interferes with work
Installation of unauthorized software
Sharing passwords, impersonation, or misuse of privileges
9. Information Security Guidelines
Everyone must strictly adhere to the following:
・Use strong passwords and enable MFA whenever possible
・Lock your screen when away from your desk
・Treat suspicious emails (phishing) with caution and verify them before opening or clicking
・Report incidents (misdelivery, loss, suspected data breaches) immediately
10. Customer and Business Partner Relations
As a representative of Ve-Tri, please adhere to the following:
・Provide honest and accurate explanations (avoid misleading statements)
・Do not make promises you cannot keep or give excessive assurances
・Observe courtesy and social etiquette during meetings, visits, and business trips
・Do not disclose customer information or business details outside the company
11. Gifts, Entertainment, and Anti-Corruption (Anti-Bribery)
Ve-Tri prohibits bribery.
・Do not accept money, gifts, or entertainment that could influence business decisions.
・Do not offer gifts that violate laws or business partner rules.
・If you are unsure, consult your supervisor or the administrative department.
12. Consultation and Reporting (Speak Up)
If you suspect a violation of the Code of Conduct or have any concerns, please consult with us as soon as possible.
Where to consult (examples):
・Your supervisor
・Administrative departments (HR/General Affairs)
・Management or department heads
*We will maintain confidentiality to the greatest extent possible and respond appropriately.
13. Prohibition of Retaliation
Retaliatory actions, such as unfavorable treatment or harassment, against individuals who have consulted or reported an issue are prohibited.
14. Response to Violations
In the event of a violation of this Code, the following actions may be taken depending on the circumstances:
・Admonishment, guidance, or warning
・Restriction of work privileges
・Termination of contract, disciplinary action, or dismissal
・Legal action, if necessary
